Administration and organization is not limited to a single sector of business or human activity. We all need it (and some really need it!) But no judgment!
The principles of organization and administrative support are the same in any field of endeavor. They just need to be applied. Organization is my strength, which I hope to offer as a complement to your many strengths in what you do.
From Chaos to Order
We all know that sometimes things get out of order or get backlogged. I’ve been there, done that with chaos, disruption, and disorganization in many places in life, and I know how to dig people out of it to that they can get on to the more important things like running efficient operations to keep their employees and/or their families happy.
I’ve been told that I have a “calm and organizing” way about me (but don’t ask my kids to comment on that, please…!)
Above all, my admin support work helps to keep the client happy and motivated for performance. That’s what it’s all about, isn’t it?
Small Businesses Especially
Small businesses have a special claim on my services because even small efficiency increases in a small business can boost their mission tremendously. I work with leadership to enhance a business’s current systems to help you save time and make your workflows more productive.
I operate on the principle that every hour you spend on the nitty gritty of an administrative process is time you could be spending with clients or in the field where you’re most needed. When you delegate the detail stuff to a pro you exponentially increase your effectiveness.
My techniques have helped many small businesses save time on critical tasks, which means they also save money, which means they get more value (i.e., productivity) out of everything they do.
What’s not to like about that?
A Few Key Tasks
Every business has to get a few key functions in place in order to run more efficiently. Let me help you on some of these.
General Administrative Items:
- Paperwork: I’ve already read your mind. You’re thinking “avalanche”, right? If I weren’t doing this work, I’d open a store called “Paperwork Disasters ‘R Us”! It’s a specialty of mine.
- Administrative: Sometimes efficiency gains come down to matters of file re-organization, QuickBooks training, employee efficiency training, secretarial work or training. I’ve spent a whole career doing these very things.
- Procedures: I help create Policies and Procedures manuals, staff procedural training, and other key organizational documents together with and for management.
- Systems: I can help you with set up, analysis, evaluation, and audits of your systems such as daily office operations; physical space management; electronic and physical file management, etc.
- Detail Work: Your staff may need help with electronic and paper files, databases, spreadsheets, accounts, legal docs, or corporate and financial information, etc. Again, these types of things have been my bread and butter for three decades.
- Coordination of information: I can help you get things working more smoothly among management, staff, admin, info tech, PR people, etc. particularly when it comes to the difficult work of a business transition, project management, or in hiring.
Particular Tasks:
Certain other tasks are helpful to specific needs of businesses, and I’ve assisted many companies with these needs.
Proofreading – Your professional image is important so don’t let a clerical error be the reason people do not do business with you. Among the things that need another set of eyes prior to going to print or going live are these:
- Web and social media content,
- Newsletters (printed and email),
- Marketing materials, etc.
- And don’t forget how your official correspondence needs to be completely buttoned down before it goes out.
Contract vs Staff time – In many instances you can make much better use of staff time when you hire out to an expert instead of using less skilled staff to do the same task. An Engineer once told me, “I could pay less for you to do it better”. Having said that, sometimes your staff members are extremely skilled in valuable areas for your mission and need to be relieved of some menial or admin tasks by someone efficient so that they can increase the overall impact of your business.
Organizing – Your time is valuable. And the 80/20 rule applies to every skilled person: you need to leverage your skill while someone else does the organization for success. Every minute spent looking for things or wading through disorganized piles (even electronically) is pushing your potential impact down to 70/30, 60/40 and so forth. Organizing skills are not the end point of a business, they are the means to get things done—efficiently.
